Individual sessions and workouts
One-to-one sessions with clients booking a coach's free hours, plans and fees for individual sessions, and a workout log with exercises, sets and ready programs.
For: owner, coach, manager, parents
Two modules for those who train more than groups:
- Individual sessions: one-to-one sessions with a coach. Schedule, attendance, subscription and coach pay work as for a group, for one player, and clients book the coach's free hours themselves.
- Workouts: a log of what the player did in a session (exercises, sets, weights) and ready programs a coach gives a player.
Turning them on
- A new club for a personal trainer or studio. When creating the club, under You are choose A personal trainer or studio. Both modules are switched on right away, the sport becomes "Fitness and personal training" and the club is for adults: each client is their own contact and has their own portal. See Create a club.
- An existing club. Workouts come with the Club and Academy plans. Individual sessions are in no plan: to have them switched on, write to us.
Who can
- Start individual sessions with a player: a coach for themselves, managers and up with any coach.
- Hours for booking: a coach sets their own, a manager anyone's.
- Any staff member creates exercises and programs; a program is changed by its author or a manager. Whoever may edit the player gives them a program and keeps their log.
- Clients (or their parents) book and see the log in their portal.
Individual sessions
- Open the player's profile. In the Individual sessions block click Start individual sessions, choose the Coach and confirm.
- The profile now shows the coming sessions with that coach. + Add a session takes a date, time and place, like any session. Schedule and history opens all of the pair's sessions.
- All one-to-one pairs are listed on the Groups (or Teams) page under Individual sessions.
Plans, fees and pay
- Under Club settings → Price plans, a plan has For which sessions: Any, Group or Individual. An individual pack is not spent on group sessions, and the other way round.
- In the same place, under Discounts and fees: No-show without a good reason (the coach marked the player absent at an individual session) and Booking cancelled less than 12 h ahead. Empty means no fee. The fee goes onto the player's balance by itself.
- The pay report has its own Per individual session rate: see Coach pay.
Clients booking free hours
- The coach opens Schedule → Hours for booking and adds + Add hours: the Day, From, To and Session, min, then saves.
- A client who trains one to one with that coach sees Book a session in their portal, with the free times of the next 2 weeks. Time taken by the coach's other sessions is not offered.
- The client picks a time and confirms "Book … at …?". The session appears in the coach's schedule and in the client's portal under Your bookings.
- Clients can cancel a booking themselves up to 12 hours before. Later only if the club set a late-cancellation fee (it goes onto the balance); otherwise: "Too late to cancel here — please contact your coach."
A slot can be booked 2 hours ahead at the earliest. Until hours are set, clients can't book themselves.
Workouts and programs
- The Programs menu. In the Exercises card, + New exercise: the Exercise name and What to record: Weight and reps, Reps, Time or Distance. The type can't change later.
- In the Programs card, + New program: a name, the exercises and their sets.
- On the player's profile, the Workouts tab: Give a program.
- In a session, click Log next to the player. The log starts from their program, with the numbers of last time. Write the sets on one line:
3x10x12is three sets of 10 reps at 12 kg;10x20, 10x22are different sets. Click Save. - The Workouts tab shows the Workout history and Progress: the best value in each exercise.
The client sees their workouts in the portal under Workout history.
In the app
Menu → Programs and Menu → Hours for booking; the log opens from the session, and individual sessions from the player's profile. Clients book in the app the same way.
FAQ
A client doesn't see "Book a session"
Check three things: the client has individual sessions with this very coach, the coach has set Hours for booking, and the client has accepted the invitation to the portal.
Can one club have both groups and individual sessions?
Yes. Groups work as always, and individual sessions run as separate player–coach pairs.
