Debts and debtors

How a player's debt is worked out, where to see everyone who owes the club, whose payment is overdue, and how parents hear about it.

Debts take care of themselves. When you sell a subscription, its price minus any discount is charged to the player's balance straight away. Fees and one-off charges (the Charges block on the profile) are added the same way. Every payment brings the debt down. If a player has paid less than they were charged, they are on the debtors list.

Who can

Managers, support and the owner see the debtors list. A coach sees the balance on the player's profile, in the Subscriptions and payments tab.

The debtors list

1. Open Finance → Debtors. At the top: how many debtors there are, the total, and how many are overdue.

   

2. Each row shows:

   • the Player and their team;
   • the Contact with a phone number: tap it to call;
   • the Subscription: until when it runs, or when it ended;
   • the Last payment and how many days ago, in red past a month or if they never paid;
   • the Debt, marked "overdue N days" when it is.

3. Narrow it down: search by player, contact or phone; All debts, Overdue only or Not due yet; a team; the player's status.

4. Change the order: Largest debts first, Oldest debts first or Longest without paying first.

5. Click a name to open the player's Subscriptions and payments tab, where you can + Record a payment right away.

When a debt is overdue

Payments cover subscriptions in turn, oldest first. The first subscription they don't cover sets the date: the debt is overdue from the day it started. A subscription sold ahead that hasn't started yet shows "due from …" and falls under Not due yet.

Overview and the app

The owner (and support, if allowed to see the finances) has a card with the total owed and the Largest debts on Finance → Overview. In the app: Menu → Finance → Debtors, with the same filters.

How parents hear about a debt

• In the portal: the balance says "owes …", and the bell keeps "Debt: …" until it is paid.
• In Telegram: once a week, if the club has turned reminders on and the parents connected them: "… owed … You can pay the coach or the club office." See Telegram reminders.
• A pay button: if the club takes payments online, the portal shows "Pay online". See Online card payments.

FAQ

Why is there a debt when the subscription starts next month?

The price is charged on the day of the sale. It only becomes overdue from the subscription's start date; until then it shows "due from …".

How do I clear a debt that shouldn't be charged?

Cancel the subscription (Cancel next to it): its price no longer counts as owed. A one-off charge or fee is waived with the bin icon in the Charges block. Both are for managers and up.

Why is an archived player on the list?

A debt doesn't vanish when a player leaves. To see only those still training, pick the Active status in the filter.
